Depending on the matter, we may collect identity and contact details; professional affiliations; family, household, asset, travel and lifestyle information; service requirements and preferences; correspondence; billing, payment and transaction records; and information needed for supplier sourcing, contractor coordination, procurement support, introductions or partner referrals.

Sensitive information

Where you provide sensitive information, such as health, dietary, accessibility, security or family-related details, we use it only where needed for the service requested and where we have an appropriate lawful basis, including explicit consent where required.

3. How we receive data

We may receive data directly from you, from authorised representatives, family offices, advisers, suppliers, contractors, partners or publicly available and professional sources, where relevant to an enquiry, engagement, introduction or service request.


4. Why we use data and lawful bases

We use personal data to respond to enquiries; prepare proposals; provide bespoke private office support; arrange introductions; source and coordinate suppliers or contractors where requested; administer contracts, invoices and records; protect confidentiality and security; comply with legal obligations; and, where permitted, maintain appropriate business relationships. Our lawful bases are usually contract or pre-contract steps, legitimate interests, legal obligation, and consent where needed.


5. Sharing information

We share personal data only where necessary and proportionate, including with authorised suppliers, contractors, introduced partners, professional advisers, insurers, accountants, IT, email and cloud providers, payment providers and public authorities where legally required. Information submitted through our Confidential Enquiry form is processed on our behalf by Web3Forms, operated by Web3Creative, so that it can be securely received and forwarded to us. We share only the minimum information needed and expect appropriate confidentiality and data protection safeguards.


6. International work and transfers

Private office support may involve international interests, travel, assets, advisers or suppliers, and some of our service providers may process data outside the UK or EEA. Where international transfers are necessary, we use appropriate safeguards such as adequacy regulations, UK-approved transfer terms, contractual protections or limited service-necessary transfers permitted by law.
 

7. Retention

We keep personal data only for as long as reasonably needed for the purpose collected, including service delivery, relationship management, legal, tax, accounting and dispute purposes. Core client and transaction records are normally kept for up to six years after the relationship ends, unless a different period is legally required or justified. Enquiry records that do not proceed are kept for a shorter reasonable period.

8. Security and discretion

We use reasonable organisational and technical measures to protect personal data, including restricted access, secure storage and proportionate confidentiality controls. We do not sell personal data.
